Everything someone used to carry.
Every process in your office has work wrapped around it that isn't the work. Somebody reminds. Somebody asks where it is. Somebody adds it up, walks it down the hall, and finds it again in March. And on the other side of the counter, somebody prints it, signs it, and scans it back. Once we build your process with you, none of that is anyone’s job anymore.
Nothing here is an add-on. Use what your office needs.
Starting it
For the person filling it out: a staff member, a parent, a resident.
Opening it from anywhere
Do they need an account?
No. A family, a resident, or a new hire opens a link or scans a code and fills it out on whatever phone or computer they have. When it should be anonymous, it can be.
Asking only what applies
Why is this form so long?
It isn't. Answer one question, and the form shows only what follows from it. A parent enrolling one child never sees the questions for three.
Filling it in
Do I have to type my name again?
What the office already knows fills itself in, so nobody retypes their name, building, or position on every form.
Saving it for later
What if I get pulled away?
Get halfway through, take the call, pick up the kids, and it's all still there when you come back. For a long form, that's the difference between finishing and giving up.
Translating it
What if English isn’t their first language?
Forms can be offered in the languages your families and residents speak, so the person filling it out understands what they’re agreeing to.
Sending it on schedule
Does someone have to start it every time?
Forms that come around on a schedule go out on their own: timesheets every pay period, re-enrollment every spring.
Paying for it
Can they pay when they submit?
Yes. Fees, rentals, and licenses are paid online, right on the form, and the payment becomes part of the record.
Getting it right
Complete, correct, and signed before anyone acts on it.
Checking it
Will it arrive complete?
It won't submit without what's required. Attachments come attached. The math is done on the form, at the right rate.
Signing it
Can it be signed without printing?
Every signature is collected on the form, in order, from anyone who needs to sign, including people outside your office. Each one is recorded with who signed and when. Sign a lot of approvals? Save your signature once and use it with a click. It's yours alone, and nobody else can sign with it.
Sending it back
What if it just needs a fix?
Send it back to the person who submitted it, with a note saying what to change. It comes back corrected, and nobody starts over.
Moving it
Where it goes next, and who knows about it.
Routing it
What if someone's out?
It goes to the next person in your order, by request type or dollar amount, and to a backup when someone is out. Steps can happen one after another, or all at once. Approvers can act from any device. We set it up with you, and you can change it yourself.
Assigning it
Can I approve it and hand it off at once?
Yes. Approve it and assign it to someone in the same step. They’re told, and so is the person who asked. When the work is done, they can attach a photo, and it comes back to you to close out.
Chasing it
What happens when nobody answers?
It asks again, on the schedule you set, and goes up the line if it has to. You give us the dates that matter, and we build them in.
Telling everyone
Does the person who asked ever find out?
Yes. Everyone who needs to know is told when it moves, including people who never touch the form.
Tracking it
Can I see where it sits without asking?
Anyone you authorize can open it any time. Every request shows who has it, how long they've had it, and what's next.
Approving it in batches
Do I have to open each one?
Approve a stack of requests together, like every timesheet at the end of a pay period, instead of one at a time.
Keeping it
What’s left when it’s done, and what you can do with it.
Recording it
Who approved this, and when, and can I prove it?
Every submission, signature, and approval is on the record, with who and when attached. If something is edited, the change is recorded: what changed, when, and by whom. Nothing gets lost in an inbox or a filing cabinet. By default, records are kept for as long as you're with us. If your retention schedule says otherwise, we follow it.
Taking it with you
What happens to our records if we leave?
They leave with you. Every record comes back to you in a spreadsheet file you can open anywhere, and nothing stays behind.
Producing the documents
What about the forms the state and federal government require?
We build from the forms you already use, including the ones you’re required to keep, like an I-9. A completed request produces the finished document, ready to file or send.
Making sense of it
What does all of this tell me?
Everything you collect becomes data you can use. Build your own reports, charts, and graphs, or have us build them for you. Export anything to a spreadsheet. You can even ask it a question, like how many leave requests came in last October. It only answers from what your account is allowed to see.
Connecting it
Does it work with our other systems?
Any process that needs to connect to another system can. If that system allows a connection, we'll connect to it. If it doesn't, your data moves by spreadsheet, out of one and into the other.
None of this is a module you switch on. The pieces work together, from the moment someone opens the form to the day someone asks for the record. Most days, you won’t notice any of it. The work just moves, and nobody has to carry it.
