For special education

For the work that keeps your special education office running.

We build the processes your office runs on. The notice that goes out before a meeting, the consent that has to come back, the signature on the plan, the accommodations a dozen teachers need to have read. We build them around how your office already works, take them off your hands, and keep them moving.

Five processes, one office, one week. Nobody printed or mailed any of it.
01 · The condition

Your IEP platform does its job. The program runs on everything around it.

Whatever your district uses for IEPs holds the plan and does the reporting your state asks for. That part works.

01The rest of the program isn't in there.
02So it lives in PDFs, email, printing, and mailing.
03And in somebody remembering to follow up.

It's administrative work, and it's the administrative work that matters most. It's what gets asked for in a review, and what has to be done before a student gets what the plan says they get.

02 · The desk

The work that touches your desk.

01
Meeting notices
Out on time, and you can see who has actually seen one.
02
Consent to evaluate
The thing everything else waits on.
03
Permission to implement
The signature that turns a plan into services, whether or not the team met in person.
04
Prior written notice
Sent, documented, and on file the way it has to be.
05
504 plans and accommodations
Out to every teacher who has that student, signed back, and easy for them to pull up in November when they need it.
06
Transition and outside agency consent
Paperwork that has to go to somebody who doesn't work for your district.
And if the one costing you the most is not on this list, it is still this kind of work. That one is usually the place to start.
03 · Today

Right now it's PDFs and follow-up.

A form gets printed, filled out, and mailed home at the start of the year. Some of it comes back. A notice goes out and nobody knows whether it was opened. A 504 gets emailed to seven teachers and four of them reply.

A case manager spends a prep period finding out where three signatures are. Every one of those is somebody remembering to check. And none of it moves until a person who doesn't work for you decides to deal with it.

04 · With Flow Forms

You tell us the dates.

We don't arrive with your timelines already filled in. You know your dates better than anyone, and they're not the same in every district or for every process. So you tell us what has to happen by when, and we build it that way.

From there it runs. It goes out when it's supposed to, it asks again when nobody has answered, and it tells you what's coming due while there's still time to do something about it. You can open it any time and see where any of it stands.

We build that around how your office already works, with your people, in your order.

What goes away is the carrying.
That's the work we take off your hands.
05 · What it looks like moving

“My work with Flow Forms has revolutionized document sharing for Billings Public Schools by saving valuable time and promoting smoother communication with parents and other stakeholders. The Individual Education Program (IEP) signature form has created a mechanism for the district to receive permission to implement the IEP in a timely manner, even when IEP team meetings are not able to be held in person. By receiving approval so quickly, students are able to receive the necessary services to make academic and social, emotional, and behavioral progress. The form is incredibly easy to use and our staff has appreciated having it available.

Our partnership with Flow Forms has already produced many time-saving documents. There does not appear to be any limit to what we can create and use. It is, by far, one of the most useful and beneficial investments the district has made to date.”

06 · Tomorrow

Once it's running.

A parent signs from a phone the same day the meeting ends. A notice goes out and you can see it landed. A 504 reaches every teacher who has that student and comes back signed without anyone sending a second email. A case manager stops spending prep periods on follow-up. When somebody asks for the file, it's there, in the shape it was in at the time.

Still here in two years, exactly as it was.

All of this, and all anyone does is fill out a form. That is a special education office where the work moves and nobody carries it.

Bring us the first one.

Start with parent signatures, or start with whatever is costing you the most. We'll talk it through together and show you how it could work in your office. No slide deck. No generic walkthrough.

07 · Questions

Questions we hear from every office.

Does this replace our IEP system?
No. Whatever you use for IEPs stays exactly where it is, doing what the state needs it to do. We build the paperwork that lives outside it.
Does a parent need an account?
No. It arrives by text and email with a direct link. They open it, sign it, and they're done. Nothing to sign up for, nothing to install.
Can I see who hasn't responded?
Yes. You can open it any time and see what's out and who it's waiting on, without calling anyone to find out.
Can a teacher pull an accommodation back up later?
Yes. It's there when they need it, the same as it was when it was signed.
How is it priced?
Per process, so the office that needs it can say yes on its own.
Who builds it?
We do, with you, on a video call while you watch. Nothing like a typical software rollout. No IT project, no six-month timeline, and we stay on to make changes whenever you need them.
